Well, time management is the best way of dealing with a heavy workload because time is really all you can control. How you go about managing that workload can make all the difference. It comes down to how you use your time during the day to accomplish your goals. Managing it effectively will help you prioritise tasks, create more efficient and effective ways to complete projects, and take breaks so you’re able to look at assignments with a renewed sense of creativity. These practices could result in getting more done, faster.
Here are four ways to manage time.
1. Eliminate as many distractions as possible. Kailangan maging strict ka at umiwas sa mga gawaing makakaapekto sa productivity mo. For example, reduce the amount of time spent checking your email, mobile phone, and social media. Checking them three times a day instead of multiple times an hour will help you complete tasks instead of wasting time stopping and starting, or starting new tasks because they popped up in your email. Set an alert to review emails and messages at designated times during the day. This will help you work through the two hours completing tasks. Now, you’ll only stop to read emails and messages three times during the day instead of every five to 10 minutes.
2. Be diligent in “protecting your time.” Block out time on your calendar to prevent it from getting filled up with meetings. If someone asks to meet when it’s inconvenient, simply reply, “I have a prior commitment at that time.” You do have a prior commitment, it’s to yourself!
Commit to starting each day with prioritising your monthly, weekly, or daily tasks. First, list the due dates (if it’s for the day, list the time) each task needs to be completed. Really look at the tasks. Can it be submitted in three days instead of today? Hindi naman lahat ng tasks ay kailangan rush or ASAP, minsan kailangan din ng sapat na oras o araw para mas maging effective ang output mo. Pushing some of the due dates of this important task back will give you breathing room, eliminating stress and anxiety. Listing every task that is due but can’t be accomplished in an eight-hour day does you no good. Move those tasks to later in the week/month to make your workload more manageable.
End your day by updating your list. Check off the tasks you completed. Re-prioritise the remaining tasks. Maybe something has changed, allowing you to push back more due dates back, giving you more time.
3. Schedule “down time”. Now that you have your timeline, step away from your task for a stretch break: get water, a snack, or clear your head. Malaki ang
Scheduling breaks helps to reduce stress and anxiety. It also helps to gain a better perspective of your workload. Time away helps you to see things differently, like which tasks are important or urgent and which can be pushed back a couple of days.
Breaks keep you from drowning in your work. Stepping away can help you come up with new ideas and ways to tackle a situation. So don’t get distracted or sidetracked by nonessential conversations or spending too much time on social media.
4. Create better processes. Another way to manage a heavy workload is by combining tasks to reduce the number of times you have to do them. Think about your day or week and what needs to be accomplished. What will you need? Instead of making the trip one to two times a day, get enough to last the week, saving you time to use for something else.
Can you eliminate steps? Can you assign a task to someone else? Staff recruitment agencies suggest that you look at a task from the perspective of improving efficiencies. Often, processes are done a certain way without looking at “a better way,” or asking “is someone else better suited to complete the task?” Better processes can help you reduce your workload while potentially increasing more effectiveness.
